2. Information We Collect
2.1 Account Information
When you register, we collect your name, email address, phone number, and organisation name. This is required to create and manage your account.
2.2 Business Data
Data you enter into SiteSmartly — including site details, client information, payment records, employee names and wages, and material records — is stored on our servers to provide you the service. This data belongs to you.
2.3 Usage & Analytics Data
We collect usage information such as pages visited, features used, session duration, and device type to understand how the product is used and to improve it. This is done via Google Analytics 4 and Microsoft Clarity. We pass only opaque, non-personally-identifiable identifiers (user ID, tenant ID, role, plan tier) to these tools — no names, email addresses, or phone numbers are ever shared with them.
2.4 Payment Information
Subscription payments are processed by our payment processor. We do not store your card number, CVV, or UPI credentials on our servers.
3. How We Use Your Information
- To provide, operate, and improve SiteSmartly
- To send transactional emails (account confirmation, password reset, subscription receipts)
- To respond to your support requests
- To comply with legal obligations
We do not use your data for advertising, and we do not sell your personal information to any third party.
4. Data Storage and Security
Your data is stored on secure cloud servers. All communication between your device and our servers is encrypted using HTTPS/TLS. We implement industry-standard security measures including access controls, regular backups, and monitoring.
However, no system is 100% secure. In the event of a data breach that affects your personal data, we will notify you promptly as required by applicable law.
5. Data Retention
We retain your account and business data for as long as your account is active. Specific retention periods apply to each category of business data as described below. Once the retention period is reached, records are archived for compliance purposes.

Retention periods above are the default global settings applied to all organisations. If your organisation requires a different retention window due to specific regulatory or contractual obligations, contact us and we will update the configuration for your account individually.
If you delete your account or cancel your subscription and request full data deletion, we will permanently delete your data within 30 days, except records that are subject to a mandatory legal retention period listed above.
6. Third-Party Services
SiteSmartly uses a small number of trusted third-party services to operate:
- Netlify — website hosting and form handling
- Razorpay — subscription billing (payments are processed under their own privacy policy; we do not store card or UPI credentials)
- Google Analytics 4 — product usage analytics. Data is sent to Google LLC and governed by Google's Privacy Policy. We use a pseudonymous user ID (not your email or name) for cross-session analysis.
- Microsoft Clarity — session recordings and heatmaps to understand how users interact with the app. Data is sent to Microsoft Corporation and governed by Microsoft's Privacy Policy. Recordings are automatically masked to exclude sensitive form inputs.
We do not share your data with these providers beyond what is necessary to provide and improve the service.
7. Cookies & Local Storage
SiteSmartly uses two categories of cookies and browser storage:
- Essential (strictly necessary) — session token and preference storage required to keep you logged in and remember your UI settings. These cannot be disabled without breaking the service.
- Analytics — Google Analytics 4 sets cookies (e.g.
_ga,_ga_*) and Microsoft Clarity sets cookies to correlate sessions. These are used solely to understand product usage and improve the service. No advertising or cross-site tracking is performed.
By using SiteSmartly you consent to the analytics cookies described above. You can opt out at any time by enabling the "Do Not Track" setting in your browser, by using the Google Analytics opt-out browser add-on, or by contacting us to request opt-out.
8. Your Rights
You have the right to:
- Access — request a copy of the personal data we hold about you
- Correction — update inaccurate data (you can do this directly in your profile settings)
- Deletion — request deletion of your account and personal data
- Portability — export your business data as PDF or CSV from within the app

9. Children's Privacy
SiteSmartly is a business tool intended for adults (18+). We do not knowingly collect personal information from children under 18.
10. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. For significant changes, we will notify you via email or an in-app notification.
